How to Compare Ceiling Fan Factory Quotes
Compare ceiling fan factory quotes only after aligning the configuration, quantity and delivery basis. For importers and brands, this guide separates recurring unit costs from sample and development charges, shows how to expose exclusions and provides a quotation comparison sheet. Use it to prepare specific follow-up questions before selecting a supplier.
IN THIS GUIDE
Factory quotation comparison sheet ↓Align the product before comparing the price
Put the quoted model and specification revision at the top of each supplier column. Compare diameter, blade construction, motor, lighting, controller, finish and included installation accessories. Similar photographs or the same nominal diameter do not establish an equivalent product.
Ask whether the price includes the exact functions in your brief. A basic light and a dimmable light, or a remote-only configuration and a confirmed wall-control arrangement, should not be treated as identical. Where you accept alternatives, compare them in a separate row so the trade-off remains visible.
Separate included, excluded and one-time costs
The following comparison is a fictional example of quotation structure, not a price offer from ECO Fans or a market price survey. It deliberately uses no unit prices: the first task is to identify whether the two offers cover the same order.
Once the scope is aligned, use the buyer's chosen quantity to calculate a recurring order subtotal and list one-time charges separately. Do not hide tooling costs in a unit price without showing the quantity over which they are allocated. Freight, duties and taxes need their own current information if you want a delivered-cost estimate.
| Comparison line | Illustrative offer A | Illustrative offer B | Buyer action |
|---|---|---|---|
| Base configuration | Matches brief revision 02 | Different light module proposed | Confirm whether the alternative is acceptable. |
| Remote and receiver | Included as a matched set | Remote listed; receiver unclear | Request exact included components. |
| Printed carton | Included for stated variant | Plain carton; printing extra | Align artwork and print quantity. |
| Development charge | Separate one-time charge | Included at quoted order quantity | Ask how repeat orders are priced. |
| Delivery basis | Named location specified | Location not specified | Agree the same basis before comparing totals. |

Read MOQ and timing as conditions
Ask whether MOQ applies to the complete order, each model, each finish or a specially ordered component. Mixed models do not automatically satisfy a component or printed-packaging minimum. Record which combinations the supplier has actually accepted and what changes at a lower order quantity.
For samples, record the purpose, charges, included revisions and shipping arrangement. For production, record the duration and the event that starts it, such as approval of the sample and artwork plus the agreed order conditions. A target dispatch date is useful only when its dependencies are clear.
Compare quote validity, payment milestones and the process for changes after confirmation. These are commercial items to agree for the project; this guide does not set universal payment percentages, MOQs or lead times. Keep any unresolved commercial point separate from the technical acceptance decision.
- Quantity basis: total units and the split by model, finish and packaging.
- Sample basis: configuration, revisions, freight and approval target.
- Production basis: starting milestone, open dependencies and intended dispatch window.
- Change basis: how an approved change affects price, timing and validation.
Choose the next step using evidence
After normalising the offers, identify the remaining reason to prefer one supplier: a better match to your required configuration, clearer documentation, an acceptable sample plan or a more suitable support arrangement. Record that reason rather than relying on the lowest unexplained number.
Return a short clarification sheet to shortlisted suppliers. Mark each line confirmed, revised or pending, then retain the final quotation with its referenced specification. Sample approval should use that same configuration; if sampling reveals a change, update both records before discussing production.

FAQ
Questions about comparing factory quotes
Check scope, assumptions and costs before choosing an offer.
Is the lowest unit price the lowest order cost?
Not necessarily. Check configuration, accessories, packaging, one-time charges and delivery basis before calculating comparable totals.
Can I add different models together to meet MOQ?
Ask the supplier to confirm the permitted mix. Model, component, finish and printed-packaging minimums can have different scopes.
Should tooling be included in the unit price?
Either quotation format can be evaluated if the allocation is clear. Ask for the one-time amount, quantity assumptions and treatment of repeat orders.
How should I compare two different lead times?
Record the milestone each duration starts from and the approvals or materials it depends on. Compare schedules that cover the same stages.
Can the final specification change after sampling?
It can be revised by agreement. Update the specification, quotation and approval records together so production does not rely on conflicting versions.
Have a configuration ready for pricing?
Send the model, quantity split and packaging scope. Include any quotation line that needs clarification so the project can be reviewed on a consistent basis.
