PROCUREMENT GUIDE · PACKING AND DELIVERY
Ceiling Fan Export Packaging Checklist
Confirm ceiling fan packaging as part of the product specification, including protection, accessories, printed information and the intended distribution route. This guide helps importers and brands prepare a packing review and decide what validation to request. Use the checklist before approving packaging for a wholesale order.
IN THIS GUIDE
Export packaging confirmation sheet ↓Describe the route the packed product will travel
Tell the supplier how the product is expected to move: bulk shipment to a distributor, storage and repacking, or onward delivery as individual parcels. Include handling and storage conditions you know about. A carton intended for one route should not be assumed to provide the same protection in another.
Record whether blades, motor assembly, light parts and mounting accessories are packed separately or together. Review the way each component is supported, separated and retained. Packaging artwork is only one part of the decision; the packed product also needs a defined internal arrangement.
- List the intended shipping, warehousing and onward-delivery stages.
- Identify the parts included in one sellable unit.
- Provide any buyer or distribution-channel packaging requirements.
- Ask for the proposed packing arrangement, dimensions and weights.
Check the complete contents and protection
Perform the review against a packing list and a visible reference arrangement. Look for missing accessories as well as potential contact between parts. Record how the blade set, light cover and smaller components are retained and how the installer will identify the supplied hardware.
Use a dated packaging revision so the carton, inserts, accessory list, manuals and artwork stay linked. A colour box approved for print does not automatically approve the protection inside it. Review both the printed files and a representative packed sample.
| Packing element | Question to resolve | Reference to keep |
|---|---|---|
| Motor and structure | How are heavier parts restrained within the pack? | Packing drawing and sample photos. |
| Blades and light parts | Are surfaces separated and vulnerable parts supported? | Component positions and protection specification. |
| Hardware and controls | Are the required items counted and identifiable? | Accessory list with part references. |
| Manuals and labels | Do language, model and artwork match this version? | Approved files and revision dates. |
| Outer carton | What are the agreed dimensions, weights and marks? | Carton specification and packing record. |
Choose validation for the actual package
Ask the test provider to help select a method suited to the product-package combination and distribution conditions. ISTA distinguishes screening tests from procedures intended to simulate transport hazards. A procedure number alone does not explain why it fits your shipment.
Record the test method, sample configuration, package materials and the criteria used to assess the result. This guide does not assign one drop height or require one ISTA procedure for every ceiling fan. It also does not claim that all ECO Fans packages have completed a particular test.
If the product or packaging changes, review whether the previous validation remains applicable. A replacement insert, different component or altered carton can change the configuration being assessed. Keep the test decision with the packaging revision.

Approve packing and check it again before shipment
Use an unboxing review to compare the packed sample with the approved list: all components present, correct manual, correct labels, consistent arrangement and no observed damage. Record the sequence so another reviewer can check the same points. Distinguish an internal packing review from formal transport testing.
Before shipment, have the agreed inspection scope include the actual carton marks, accessories and packaging version. If a change is required, identify the affected quantities, approve the correction and decide whether further checking is needed. Keep the final packing record with the order so the next purchase can refer to it.

Export packaging confirmation sheet
Use with a representative packed sample and the actual distribution requirements. It is a review sheet, not a transport-test certificate.
- Model / order / packing revision / review date
- Distribution route and handling requirements
- Unit contents and component protection arrangement
- Accessory list and part identification
- Manual, product label and carton artwork versions
- Carton dimensions / gross and net weights / marks
- Validation method, report and tested configuration where required
- Unboxing findings / corrections / approval / changes for repeat orders

FAQ
Questions about export packaging
Plan protection, packing information and validation.
Does a branded carton complete the packaging specification?
No. Confirm the internal protection, arrangement, accessories, documents, dimensions and markings as well as the printed design.
Should all ceiling fans use the same transport test?
No universal method is set here. Select an appropriate procedure with the test provider for the packed product and intended distribution conditions.
Is opening a sample the same as transport testing?
No. An unboxing review checks contents and observed condition. Formal transport validation uses a defined method and assessment criteria.
What if the carton insert changes after approval?
Record the revision and evaluate its effect on packing and previous validation. Agree any additional checks before using the changed package.
Can a factory video prove packaging performance?
A video can show an activity or arrangement. It does not by itself prove that a specific packed product passed a defined transport test.
